About Women’s Enterprise Centre

Women’s Enterprise Centre is a non-profit organization devoted to helping BC women start, lead and grow their own business. We’re making a difference by helping to create an entrepreneurial environment that supports women business owners to gain the skills, mindset, financing and networks they need to realize their business potential. Funded by Western Economic Diversification Canada, we have served women throughout the province of BC for 25 years.

Our full range of services includes business loans up to $150K, personalized business advice, skills training, mentoring, practical resources and a supportive community. Over the past 25 years, Women’s Enterprise Centre has consistently demonstrated the positive impact of this holistic approach, which is now more important than ever.

Office Administration Coordinator

Location: Kelowna office
Status: 30 hours per week

JOB DESCRIPTION

The Office Administration Coordinator (OAC) provides bookkeeping support to the Financial Officer (FO), as well as general office administration duties. They must have a solid understanding of full cycle accounting.

Additionally, the OAC will provide administrative support to the CEO, including Board-related and human resource matters, and to the Director of Operations (DO) for general office administration support.

RESPONSIBILITIES

a. Accounting Support

Under direction of the FO, responsibilities include but are not limited to the following:

Bookkeeping:

  • Record all financial transactions and ensure all expenses & revenues are within assigned project budgets using the Quick books accounting system
  • Maintain an organized system for all accounting-related documents & file weekly
  • Assist in documentation of all accounting procedures, processes and related passwords
  • Monitor and reconcile petty cash
  • Reconcile & match all credit card receipts with statements semi-monthly, 15th & 31st
  • Additional accounting support for FO, as required

Reporting:

  • Maintain outlook calendar/Asana with all accounting, payroll and reporting deadlines & ensure staff/contractors are advised of their deadlines for supplying you with related information
  • Update inventory list on quarterly basis. Coordinate with FO for additions & disposal of capital assets

b. CEO Support

Responsibilities include but are not limited to the following:

  • Make travel & hotel bookings for CEO & enter into her calendar
  • Assist CEO with planning & implementation of AGM & Board Meetings
  • Post AGM prepare information for Lawyers re: Society annual filing, AGM minutes & Board member list
  • Book ZOOM meetings and invite participants
  • Assist CEO with planning & implementation of staff events/activities

c. Office Administration Support

Under the direction of the FO & DO, responsibilities include, but are not limited to, the following:

Human Resources:

  • Vacation tracking – Ensure process is complete; required approvals received, printed copy added to personnel fill and vacation info is entered in to the Outlook Staff Availability calendar
  • Prepare and distribute new employee orientation package; create new personnel files and relevant documents for new hire
  • Coordinate and make travel & hotel bookings for staff and add information to calendars

General office:

  • Greet Kelowna office walk-ins
  • Maintain reception area & internal resource library
  • Distribute incoming mail and prepare packages for shipping
  • Coordinate booking of the boardroom and ensure the room is prepared for meetings and cleaned afterward
  • Maintain office equipment & arrange for maintenance as needed
  • Order office supplies and code invoices as per GL specifications
  • Lead for phone system requirements and troubleshoot all phone related issues with supplier

Act as back-up for the following:

  • Ensure weekly server backups are completed and taken offsite
  • Make other updates of the staff availability calendar as required
  • Maintain WEC password and travel files on shared drive
  • Arrange service requests with landlord to ensure facility maintenance needs are met
  • IT support and office administrative matters

QUALIFICATIONS

  • Experience in Quick books Accounting
  • Solid understanding of full cycle accounting
  • Experience in creation and management of spreadsheets
  • Clerical experience
  • Excellent organizational skill and high level of attention to detail
  • Able to handle a wide variety of tasks in a fast paced environment and meet deadlines
  • Excellent written and oral communication skills
  • Strong computer skills
  • Effective team player who is flexible and cooperative
  • High degree of self-motivation

Compensation: $40k-$45k full-time annual salary, pro-rated for time worked, with option for benefits after three months

Loan Administration Coordinator

Location: Kelowna office
Status: 30 hours per week

We are seeking a highly qualified and motivated individual who shares our values and vision to empower women entrepreneurs all around British Columbia to join our dynamic Loan Administration team. This team handles all aspects of the loan processing systems from receipt of the application, coordinating with the adjudication team, preparing formal loan documentation, registering security, and on-going loan support which include handling payment and security changes, NSF payments, and follow-up for insurance renewals. In addition, team members interact externally with clients to answer questions and provide information, and internally with the business advisors to support client needs.

JOB DESCRIPTION

Our loan administration team thrives on the day-to-day work of preparing and checking loan documents, processing incoming applications, following up for missing documents and renewals, updating the database, loan system or spreadsheet, and providing information to clients about their loan. We encourage team collaboration to share ideas and the workload. The work offers a sense of satisfaction and purpose in working with an incredible team and seeing clients succeed along their entrepreneurial journey.

The Loan Administration Co-ordinator performs a diverse range of duties to maintain customer service and the loan portfolio to a high standard. On a typical day, the Loan Administration Co-ordinator may:

  • Process new loan applications
  • Process and monitor loan disbursements
  • Prepare or check loan documents ensuring accuracy
  • Establish and maintain loan correspondence files and loan security files
  • Initiate and maintain all security registrations, renewals and discharges; and client insurance policies and renewals; payment and payment changes
  • Complete credit and security checks on applicants
  • Update files and database to ensure client records are accurate

Marketing & Communications Coordinator

Status: Full-time, 37.5 hours per week

JOB DESCRIPTION

Under the direction of the Marketing & Communications Manager (MCM), you will play an active role in maintaining a positive visual and written image for Women’s Enterprise Centre, developing new marketing & visibility initiatives, and writing for a variety of formats, ensuring proper messaging for different audiences.

Working collaboratively with the MCM, as Marketing & Communications Coordinator, you will provide promotional support for all areas of the organization!

RESPONSIBILITIES

Responsibilities include, but are not limited to, the following:

  • Design and implement internal and external communications initiatives and promotions
  • Write and lay out materials, such as:
    • brochures, info sheets, information booklets, business cards, infographics
    • training materials, workshop programs
    • Learning and Resource guides
    • presentations, speakers’ notes
    • ads, signage, special event items
    • promo giveaway items, display materials
    • press releases, articles, blogs
  • Follow and enforce WEC branding standards and writing guidelines
  • Assist in the creation of reports and research
  • Coordinate photo sessions
  • Manage the collection, writing and distribution of impact stories
  • Provide support for the events and training teams, by creating handouts, presentations, worksheets, evaluations and other event-related items, as required
  • Produce, track and circulate news releases and public service announcements, while maintaining positive relationships with media
  • Create and post content and images to the website, including blogs, forms, products and events
  • Coordinate the blog content and schedule, liaise with contractors and guest bloggers
  • Create images for a variety of online promotions
  • Create & distribute MailChimp eBlasts/eNews/eInvites
  • Provide support for social media, including targeted campaigns and paid advertising

QUALIFICATIONS

  • Degree or diploma in marketing, communications, or other relevant field, or a combination of relevant education or experience
  • Proven ability to write for a variety of audiences
  • Strong organizational skills and attention to accuracy are essential
  • Effective verbal communication skills
  • High degree of self-motivation and ability to work independently to meet deadlines
  • Flexible and comfortable juggling multiple responsibilities
  • Discretion in dealing with confidential materials and information
  • Comfortable with setting priorities
  • Excellent interpersonal skills
  • Ability to effectively present information in one-on-one and small group situations to clients, partners and other employees of the organization
  • Graphic design ability considered an asset
  • Capabilities with software such as Canva, InDesign, Illustrator, Photoshop, Coschedule, Powerpoint, Word, WordPress considered an asset
  • Knowledge and experience using social media an asset
  • Entrepreneurial experience an asset

Compensation: $40k-$45k annual salary, with option for benefits after three months
